Recruitment Operations & Onboarding Associate
Are you detail-oriented, highly organized, and passionate about ensuring a smooth and compliant hiring experience? We’re looking for a Recruitment Operations & Onboarding Associate join ClearSource and support our Talent Acquisition team by ensuring full compliance with pre-hiring and onboarding requirements.
In this role, you’ll act as the primary point of contact for candidates throughout the pre-hiring and onboarding process. You’ll work closely with recruiters, HR, and other internal stakeholders to ensure all requirements are completed accurately and on time. During periods with no active onboarding tasks, you’ll also support recruitment activities, including conducting interviews, to help meet hiring demands.

What You’ll Be Responsible For
Pre-Hiring Compliance & Coordination
- Interact and maintain close coordination with Recruiters per account to ensure all pre-hiring requirements (BI and PEME) are completed prior to training start dates
- Serve as the single point of contact for designated candidates regarding all compliance-related concerns
- Facilitate compliance discussions with new hires and ensure expectations are clearly explained and understood
- Collect, validate, track, and endorse all pre-employment requirements to HR
Onboarding & New Hire Support
- Prepare job offer kits and assist new hires with questions or concerns during the job offer stage
- Coordinate requests for new hire credentials, system access, and equipment delivery
- Ensure complete, accurate onboarding of all new hires by collaborating with relevant internal departments
- Prepare and distribute new hire lists, including salary and other critical information, to stakeholders within deadlines
Recruitment Support
- Conduct initial or screening interviews when onboarding activities are minimal or on hold
- Support recruiters in meeting hiring targets by assisting with candidate assessments and interview documentation
- Provide timely feedback to recruiters and hiring stakeholders
Reporting, Tracking & Documentation
- Maintain and update hiring databases and tracking tools (e.g., MS Excel)
- Prepare periodic reports and documentation related to hiring progress, compliance status, and other assigned metrics
- Track BI and PEME costs and coordinate billing requests with vendors
Collaboration, Values & Continuous Improvement
- Proactively communicate compliance challenges to the Talent Acquisition Manager and recommend solutions with sufficient lead time
- Support initiatives that align employees with ClearSource’s mission

What We’re Looking For
- Bachelor’s degree in HR, Business Administration, Psychology, or a related field (preferred)
- Experience in recruitment coordination, onboarding, or HR operations is an advantage
- Basic interview and candidate screening experience is a plus
- Strong attention to detail and ability to manage multiple tasks with accuracy
- Good communication and coordination skills
- Comfortable working with databases, trackers, and documentation tools
- Ability to work effectively with recruiters, HR, and cross-functional teams
