Executive Assistant (Onsite)
The client is an innovative medical device startup on a mission to save lives with breakthrough technology. We’re looking for a highly organized and proactive Executive Assistant to support day-to-day operations across the business.
Administration
- Complete distributor and vendor onboarding paperwork and upload required documents
- Approve team member time tracking in ConnectTeam (WFM software)
CRM & Sales Support
- Collect leads from 4 team members and update Zoho CRM
- Enter contacts, notes, and last contact dates
- Send requested literature, documents, and contracts to customers and partners
- Keep the pipeline organized and accurate
- Send introduction emails after meetings
- Schedule and track follow-ups
- Remind sales reps when replies are needed
Scheduling & Communication
- Schedule meetings on behalf of the CEO and VP of Sales
- Send calendar invites and confirmations
- Handle rescheduling and coordination
- Help monitor communications and ensure timely responses
Travel & Conferences
● Book flights, hotels, and travel arrangements for team members
● Coordinate conference registrations and reservations
● Send organized itineraries
● Assist with travel changes or cancellations
Outreach
● Send LinkedIn outreach messages before conferences from CEO account
● Track responses and schedule meetings
● Follow up with contacts when needed
Software: Microsoft Office, Google Workspace, Zoho (CRM), Connect Team.
